This Privacy Policy explains how Cloubie (“we”, “us”) collects, uses and protects information when you use Gold Finance at finance.cloubie.ai, including the web console (the “Service”). By using the Service you agree to this policy.
Information we collect
- Account information: your email address, name, optional company name, language and time zone, and a hashed password if you sign up with email.
- Google and Facebook sign-in: if you choose to sign in with Google or Facebook, we receive only your email address, name and profile picture from that provider. We do not receive your password, contacts or posts, and we never post on your behalf.
- Financial data you provide: books, accounts, journal entries, customers, vendors, invoices, bills, bank transactions, imported files, receipts, voice notes and other content you enter or upload.
- Connected services: when you connect Mercury, Airwallex, a broker account or QuickBooks Online, we receive the account, transaction, position or ledger data you authorise. These connections are read-only.
- Payment information: payments are processed by Stripe. We receive the payment status, amount and a reference, never your full card number.
- Usage data: log data such as IP address, browser type, pages visited and errors, used to run and secure the Service.
How we use information
- To provide the Service: create and keep your books, run reports, sync connected accounts and process payments.
- To draft entries with AI: the text, images, audio or files you submit to AI bookkeeping are processed to produce a draft for your review. We do not use your financial data to train our own models.
- To communicate with you: verification codes, plan expiry reminders, invitations, security notices and replies to support requests.
- To secure and improve the Service: detect abuse, troubleshoot and measure performance.
- To comply with legal obligations.
We do not sell your personal information and do not use your financial data for advertising.
How we share information
We share information only as needed to run the Service:
- Service providers that host and operate the Service on our behalf, such as cloud hosting, content delivery and security, email delivery, AI model providers and Stripe for payments. They may use the data only to provide their services to us.
- Members of your books: people you invite to a book can see that book’s data according to their role.
- Services you connect: data is exchanged with Mercury, Airwallex, QuickBooks Online or your broker only when you connect them.
- Legal reasons: when required by law, or to protect the rights and safety of our users and the Service.
- Business transfers: as part of a merger or acquisition, subject to this policy.
Cookies and local storage
The Service stores a sign-in token, your selected book and your language preference in your browser’s local storage so that you stay signed in. We do not use advertising or cross-site tracking cookies. Our security and content delivery provider and Stripe’s checkout may set strictly necessary cookies to prevent fraud and abuse. You can clear local storage and cookies in your browser settings at any time; you will then be signed out.
Data retention
We keep your account and books for as long as your account exists. If a paid plan ends, your data is kept and books beyond the Free plan’s limits become read-only. Log data is kept for a limited period for security purposes. Backups are overwritten on a rolling schedule.
Deleting your data
You can delete individual books in the console. To delete your account and all associated data — including data received through Google or Facebook sign-in — email [email protected] from the address on your account with the subject “Delete my account”. We will confirm and complete the deletion within 30 days, except for records we must keep by law (for example, payment records). You can also remove Gold Finance from your Google or Facebook account’s app settings at any time.
Security
We encrypt data in transit with HTTPS, store passwords as salted hashes, isolate each book so only its members can access it, and restrict internal access to the people who need it to operate the Service. No method of transmission or storage is completely secure, but we work to protect your data and will notify you of a breach where required by law.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal information, and to object to or restrict certain processing. Many of these actions are available in the console; for anything else email [email protected]. You may also contact your local data protection authority.
International transfers
We and our service providers may process information in countries other than yours. Where required, we use appropriate safeguards for these transfers.
Children
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. We will post the new version here with a new “Last updated” date and, for material changes, notify you by email or in the console.
